THE IDEAL CANDIDATE :

The Ideal Office Coordinator Candidate is someone who:
  • Possesses excellent customer service and communication skills;
  • Is both a team player, but also works well independently;
  • Is detail oriented and has excellent time management;
  • Has excellent computer skills and knowledge of Microsoft Word, Excel, and basic accounting;
  • Has supervisory experience; and
  • Is flexible, yet dependable

THE POSITION :

The Office Coordinator directs the overall business operation of the camp on a year-round basis, including purchasing, Camp Store, personnel record keeping, customer service, and financial records. The position involves considerable independent work, as well as, being an effective member of a team. Located in South Lake Tahoe, Camp Concord is a high energy Family and Group Rental Camp where everyone shares unique talents and abilities to accomplish goals as a team. Activities take place on camp grounds, as well as, on local beaches, lakes and trails. This position plays a key leadership role in the development and delivery of excellent customer service, daily operation of the Camp Store and administrative processes related to camp personnel and finances. Position includes meals and housing at Camp during time of employment.

Examples of duties include, but are not limited to:
  • Under the supervision of the Camp Director, manage office and store functions in a high traffic camp setting.
  • Daily tasks: check-in/check-out, Camp Caller, name cards for family, camp store transactions, post office and mail delivery, excellent customer service, assist and support campers with needs, assist and support program staff with needs, and maintain organization and cleanliness of office.
  • Staff paperwork: certifications, timecards/payroll, CCUSA documents, and TB tests.
  • Correspondence to and from the City.
  • Lost and found items.
  • Keep inventory of store.
  • Order supplies for camp.
  • Accounting: handling money, working with Microsoft Excel for transactions, and keeping track of procurement card purchases (receipts).
  • Banking: Deposit into City account weekly. Notify City by email with a copy of deposit and account to be used.
  • Oversee guest check-in and check-out procedures including: key deposits, waiver and release forms, dietary restrictions, Family Camp Evaluations upon check-out, and Goodbye bags.
  • Evaluations (mid-summer and end of summer).
  • Provide administrative support to Leadership Team & other camp staff to coordinate and implement overall camp program.
  • Morning meetings: provide information on reservations for the day and upcoming week.
  • Make yourself available for copying, phone calls, shuttling, gathering supplies, taking over activities for breaks, etc.
  • Work closely with the City of Concord's Registration Office to confirm registration, cabin assignments, camp check- in and out process and ensure an excellent camper experience.
  • Keep Registration Binder up-to-date (put together before camp starts).
  • Camp log-in/log-out binder.
  • Family photos by Camp Concord sign.
  • Prepare camp accounting for Director's approval including invoice payments, camp deposits, and staff payroll.
  • Procurement logs for maintenance, kitchen, Director, Program Director, and Office Manager.
  • Direct communication and customer service with adults, children, city officials, staff, and vendors.
  • Compile data and put together spreadsheets to support camp programming, food service and maintenance staff.
  • Support to Program Director: age breakdown per each week, keep camp activity handouts and board up-to-date, number counts of campers per each week, and help with research of programs and activities.
  • Support Facilities Specialist: order inventory, help delegate tasks for Jr. Counselors, report any maintenance needs of camp, communication between vendors, and research of materials.
  • Support Food Service Manager: report dietary needs, meal count reports per each week, prep bag lunch labels, prep labels for cabin bins, and help delegate tasks of Camp Aides.
  • Be available to program staff for camp fire, activities, supplies, printing, shuttling, meal prep, etc.
  • Provide recreational information to campers (Stateline, hikes, casinos, biking, directions, etc.)
  • Perform other duties as required.


Qualifications:
The ideal candidate will possess excellent communication and customer service skills. The Office Coordinator must be able to work well with staff of all ages in a live-in environment. Must be detail oriented and be able to multi- task in a high traffic environment. Previous customer service, accounting and retail experience desirable.

Requirements
  • Minimum age to apply: 21
  • Standard First Aid & Community CPR and AED certificate. *TB clearance. *CA Food Handler Card/ServSafe Certificate.
  • Previous office experience; excellent computer skills, knowledge of Microsoft Word, Excel and basic accounting.
  • Must successfully participate in a mandatory, paid staff orientation training June 8 - 18, 2020.
Recommended
  • Experience working with different age groups, including adults, teens and youth.
