Position Description
The Administrative Services Officer 3 provides high-level clerical and administrative support to judicial staff and the Court Administrator. This role ensures the smooth daily operation of chambers and shared spaces, supports scheduling and logistics, and serves as a professional first point of contact for visitors and stakeholders. The position requires strong organizational skills, event planning and preparation skills, discretion, and the ability to manage multiple priorities in a fast-paced court environment.

This recruitment will be used to fill vacancies within the Intake and Administration sections of Juvenile Court.
Typical Duties
Key Responsibilities
Judicial & Administrative Support
Maintain and coordinate judicial calendars, including scheduling meetings, hearings, and internal obligations
Assist judicial staff with time tracking, timekeeping records, and related administrative processes
Support travel arrangements and reimbursements for judicial staff, if applicable
Prepare, format, and proofread correspondence, documents, agendas, presentations, and reports
Make copies as needed for meetings and other engagements
Provide general clerical and scheduling support to the Court Administrator as needed
Assist with compiling data or simple reports for administrative use
Intake Lead
Serves as team lead to department employees involved in clerical, courtroom, and lobby-related customer service activities.
Provides guidance, direction, and support to Intake staff.
Ensures consistent application of procedures and quality service delivery.
Performs additional related duties, as necessary.
Meeting & Conference Coordination
Coordinate use of conference rooms, including scheduling and setup
Maintain shared calendars for conference rooms and common resources
Prepare meeting spaces: arrange seating, materials, and arrange for technology set-up
Ensure hospitality readiness, including maintaining coffee, water, and supplies
Host and support meetings by greeting attendees and troubleshooting minor logistical needs
Front Desk & Guest Services
Serve as a welcoming presence for visitors, attorneys, and external stakeholders
Direct guests appropriately and notify staff of arrivals
Answer phones and respond to general inquiries professionally
Event & Hospitality Support
Assist with preparation and setup for evening or special events
Coordinate catering: order meals, arrange delivery or pickup, and ensure proper setup/cleanup
Maintain inventory of hospitality and office supplies
Minimum Qualifications
EDUCATION AND EXPERIENCE
Bachelor's Degree plus one (1) year experience in an administrative or technical field.
Additional experience may be considered in lieu of education. (1:1 Ratio)
Candidates with accreditations earned in a foreign institute are encouraged to apply.
Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
Preferred Experience, Knowledge, Skills, and Abilities
Previous experience in a legal or government setting
Proficiency with MS Office Suite
